Position 1: Program Administrator or Officer (depending on experience)

Program Administrator or Program Officer (depending on experience) reports to the Programs Manager of the Foundation, and is responsible for the administration and monitoring of scientific grant programs.

Essential job functions:

  • Implement the grant proposal submission process, deliverable reminders, and deliverable submission process;
  • Keep necessary written records that are complete, concise and accurate, and maintained in a timely, organized fashion;
  • Revise all program templates and standard operating procedures;
  • Assist in reviewing all proposal and full application materials submitted;
  • Assist scientific review panels in evaluation of all application materials;
  • Provide the first-tier review of grant deliverables, budgets, and progress report forms;
  • Prepare confidential and sensitive company information; producing spreadsheets, presentations, or other documents;
  • Schedule and organize meetings and events relevant to the programs;
  • Respond to inquiries from applicants, grantees and institutional administrators;
  • Be flexible and willing to perform any and all tasks that promote the spirit and philosophy of the organization;
  • Work as a team player with a positive attitude in small office;
  • Other duties, as assigned. Minimal travel may be required.

Position 2: Office Administrator and Program Assistant

The Office Administrator and Programs Assistant reports to the Executive Director of the Foundation and is responsible for maintaining the efficient operations in the front office of the Foundation and assisting the Foundation’s Programs Team on a variety of tasks in the administration and monitoring of the scientific grant programs.

Essential job functions:

  • Front office functions, such as answering the main Foundation phone line, processing the daily mail, placing office supplies orders, and general assistance to the Executive Director, as needed;
  • Respond to inquiries from the public, vendors, program applicants and grantees, and institutional administrators about the Foundation’s programs, schedules, and grant documentation;
  • Point of contact for the Board of Directors in organizing travel arrangements, preparing for board meetings, and processing trustee gifts;
  • Assist the Programs Team in a variety of tasks, including but not limited to preparing program announcements, communicating program information to potential applicants and institutional officials, organizing submitted applications, preparations for review panel discussions, and tracking of required documents;
  • Prepare confidential and sensitive company information in spreadsheets, presentations, or other documents;
  • Keep necessary written records that are complete, concise and accurate, and maintained in a timely, organized fashion;
  • Schedule and organize meetings and events relevant to the programs;
  • Other duties, as assigned. Minimal travel may be required.
